Organisation agreement.

For the Organisation Plan, moment packs and the Team Pack: group figures only, nothing for groups under 8, and every person’s own figures kept for them.

This agreement

This agreement applies when an organisation orders the WorkSmart4Life Organisation Plan, a moment pack or the Team Pack for a list of people. Placing the order accepts it. It sets out what the organisation receives, what it sees about the people on its list, and what it never sees.

What the organisation receives

For each person on the list: the course seats, editions and decks of the pack ordered, delivered to that person. With the Organisation Plan: 12 months in every WorkSmart course, one seat per person, given by email.

For the people on the list: The Edge, which turns their own practice in their WorkSmart courses into points, levels and a weekly streak, shown to each person alone.

For the organisation: the organisation report, opened by the contact person named on the order through a private link sent to that address.

Group figures only

The organisation report shows group figures and nothing else: the number of people on the lists; turnout by week (the share of people who used at least one tool in their WorkSmart courses that week); the number and share of people active in the last four weeks; average points; average level; and average growth (points per person over the last four weeks), for each team and for the organisation.

For teams whose people hold Work Well Together: Building a Flourishing Workplace, the report also shows, for each team: the block of flourishing the team is working on (the one its people chose most often), how many people are in each phase of the cycle (Find, Learn, Own, Wrap), the share taking part, the team’s average nine-block reading and average psychological-safety score at the start and at Wrap (the same people at both points), and the keep, tweak or swap decision made most often; and, for the organisation, the blocks being worked on, the number of teams at Wrap and the decisions made. An average is shown only when 8 or more people stand behind it. Economic security appears only as one of these team averages, and nothing from the leader’s money conversation (Money and Work) is ever read or shown.

No report, screen, email or download shows a person’s name next to a figure, a row for one person, or individual data of any kind.

Nothing for groups under 8

No figure is shown for any team or group of fewer than 8 people. Such a group appears as “fewer than 8 people — figures hidden”.

An organisation total is also held back when the teams that are hidden hold fewer than 8 people between them, so that no small team’s figures can be worked out by subtraction.

WorkSmart4Life may raise this number for an organisation. It never lowers it below 8.

What is shared, and what is never shared

Shared with the organisation: the group figures above, for groups of 8 or more, and confirmation that seats and editions were delivered.

Never shared with the organisation, its managers or anyone else: a person’s name in any figure; their own points, level or streak; which tools or courses they used and when; anything they write in a tool; their answers to the WorkSmart Challenge; and whether a particular person has started.

Managers and team leaders on the list have a ledger scored only on their own actions (inviting their team, recording meeting openers, their own practice and, in Work Well Together, the leader-track tools they use, their check-ins, setting up the team’s experiment and the review). It never includes their team’s figures, except the team’s block and phase as a group, for teams of 8 or more.

How the organisation uses the report

The organisation uses the report to support participation and to see whether the programme is taking hold. It does not use The Edge or the report to evaluate, rank, reward or discipline any person, and it does not try to identify a person from the figures.

What is kept

The list of names and email addresses the organisation sends us (with any team or department and manager mark on it) is used to give the seats, editions and decks and to form the teams in the report, and is kept with the order records.

The Edge keeps each person’s computed figures (points, level, streak and the weeks they were active and, for Work Well Together, their phase, the block they chose, their nine-block and psychological-safety ratings and their keep, tweak or swap choice), the invitations sent and leaders’ ledger entries. It reads course activity when it calculates and never stores what a person writes.

Computed figures are deleted automatically once a person has not been seen in The Edge or in a team figure for 12 months; invitations and ledger entries after 12 months; report links 30 days after they expire.

The rights of the people on the list

Each person sees their own figures in The Edge whenever they like.

Each person can choose, in The Edge, to be left out of their team’s figures, at any time and without giving a reason. The organisation is not told who has chosen this.

Each person may ask for a copy of their data, or for it to be deleted, by writing to support@flourishtalk.co.za.
